Learners have the ability to unenroll through their course dashboard. If the enrollment occurred within the previous 14 days (2 days for Professional Education Courses) an automatic refund will be granted to the organization. If the enrollment occurred outside of that window, no refund will be granted to the organization.
If your organization has a data agreement with edX, you may go to the Learner Progress Report and click the "Download full report (CSV), where you can view the below related learner enrollment data to advise or confirm a learner's refund status:

Related learner enrollment data:
unenrollment_date - The date the learner unenrolled from their course.
unenrollment_end_within_date - The date the learner must unenroll by, in order to receive a refund on the enrollment. This date is traditionally 14 days from the enrollment date or the course start date, whichever is later.
is_refunded - Whether or not the learner received a refund on their enrollment
course_list_price - The original price of the course, before any discount were applied
Other data that may be useful to filter by when searching a specific learner:
coupon_code - The code used for the specific enrollment
user_email - the learner's account email
If a learner used single-use enrollment codes to enroll in a course, and unenroll within the 14 day refund window, they will be able to redeem the same code for one future enrollment, as long as the code expiration date has not passed. Code usage still requires to be used within the restrictions of the code catalog and expiration date. Admins may search the learner’s email in the Code Management tool to confirm they have an additional use available for the same code.
Please note that an additional code use will only be issued within the refund window for single-use codes.
